Job Application Follow-Up Email Template (Copy-Paste, 3 Timing Windows)
Applied and heard nothing back? Copy this follow-up email template for three timing windows — after applying, after an interview, and after a long silence — so you never wonder what to send or when.
Quick answer
Follow up once after 7-10 days if you haven't heard back from an application, once within 24-48 hours after an interview, and at most once more after 2-3 weeks of total silence. Keep each message under 100 words and reference something specific, not a generic check-in.
Template 1: After applying, no response (7-10 days)
Subject: Following up — [Role Title] application
Hi [Name], I applied for the [Role Title] role on [date] and wanted to follow up. I'm especially interested in [one specific detail about the team or role]. Happy to share more about my background at [Company/Project] if useful. Thanks for your time — [Your Name].
Template 2: After an interview (24-48 hours)
Subject: Thank you — [Role Title] interview
Hi [Name], thank you for the conversation about [Role Title] today. I enjoyed hearing about [specific thing discussed] and it reinforced why I'm excited about the role. Let me know if there's anything else useful for the next step. Best, [Your Name].
Template 3: After long silence (2-3 weeks)
Subject: Checking in — [Role Title]
Hi [Name], checking in on the [Role Title] role I interviewed for on [date]. I understand hiring timelines shift, and I remain very interested. Let me know if there's an update or anything further you need from me. Thanks, [Your Name].
What makes a follow-up land vs get ignored
- One specific reference (a detail from the posting or the conversation), not a generic "just checking in"
- Under 100 words — recruiters skim, they don't read long follow-ups
- No guilt-tripping language about timelines; state interest and let it go
- One follow-up per stage, not repeated pings a few days apart
FAQ
Is it okay to follow up if the posting says no calls or emails? Respect that instruction. Some companies explicitly route all communication through their ATS, and a follow-up email there can hurt more than help.
Should I attach my resume again in a follow-up? Only if you're following up after applying and suspect it didn't go through, or if you're adding new information. After an interview, a resume attachment usually isn't needed.
What if I never hear back after the final follow-up? Move on and mark the application closed in your tracker. A non-response after two attempts is itself an answer.
